1. Introduction and who we are
At EnQuanta, your privacy is a priority. This Privacy Policy (Policy) is issued by VoiceIt Technologies, Inc. dba EnQuanta (EnQuanta, we, us), 6385 Old Shady Oak Rd., Suite 250, Eden Prairie, MN 55344, USA. EnQuanta is the data controller for the personal data described in this Policy and can be reached at privacy@enquanta.com. This Policy explains how we collect, use, store, and share your personal data when you interact with our services, including our website, https://enquanta.com (Website), when you register for or attend our live sessions, webinars, and scoping calls, when we correspond with you or send you marketing email, and when you sign documents with us such as non-disclosure agreements. It also outlines your rights under applicable laws such as the European General Data Protection Regulation (GDPR), the UK General Data Protection Regulation and Data Protection Act 2018 (UK GDPR), the California Consumer Privacy Act, as amended (CCPA), and other U.S. state privacy laws that may apply to you.
This Policy is a notice about how we process personal data; it is not a contract, and using the Website does not by itself mean you have consented to anything. Where we rely on your consent (for example, for analytics and advertising cookies) we ask for it separately, and you can withdraw it at any time.
This Policy does not cover personal data we process about our employees, contractors, or job applicants, or about individuals who have entered into specific written arrangements with us (for example, speakers who have authorized us to use a synthesized version of their voice in our marketing content, or employees or consultants who have authorized us to use photographs, videos or audio of them on our website, marketing materials, live sessions, webinars or similar events). Those individuals receive separate notices.
2. Information we collect
Information and personal data you provide
Contact information: name, email address, phone number, address, job title, employer, and the content of any message you send us. On the Website this is what you enter in the contact form (name, work email, organization, your interest, the request type and your message).
Partner applications: company, website, your name and work email, partner type, the markets and regions you sell into, and your answers about your business.
Event and session registration: when you register for a live session, webinar, or scoping call, we collect your name and business email address, together with any further details the registration form asks for (such as employer, job title, time zone, or questions you submit). Zoom also provides us with attendance information such as join and leave times.
Documents you sign with us: if you sign a non-disclosure or similar agreement with us through PandaDoc, we collect your name, title, email address, electronic signature, IP address, and the signing audit trail that PandaDoc generates.
Each Website form also records the version of the Terms & Conditions you accepted when you submitted it.
Information collected automatically
Server logs: our servers keep technical logs of requests to the Website (the page requested, the response, the browser type and whether the request came from a known crawler). Infrastructure that fronts the Website may record IP addresses in its own security logs for a short period. We do not build visitor profiles from these logs.
Cookies and tracking technologies: with your consent, information collected through cookies and similar technologies, including your IP address, device and browser type, pages visited and time spent, referring page, approximate (city-level) location, and a pseudonymous identifier. See Section 4, Cookies and similar technologies, for the specific tools we use and your choices.
From other sources: business contact information (name, job title, employer, and business email address) obtained from licensed business-contact databases, from publicly available professional profiles, or from partners and resellers we work with, as described in Section 5. We also receive attendance data from Zoom and delivery and engagement data (opens, clicks, bounces) from our email providers.
From Stripe: the Website does not take payments. If EnQuanta invoices you and you pay by card through a page Stripe hosts, Stripe tells us the payment status together with your name, billing address, email address, the card brand and the last four digits of the card number. We never receive or store your full card number. See Section 6 for Stripe's role.
Our Website and services are directed to businesses and professionals. We do not knowingly collect personal data from minors under the age of 18 through our Website. If you believe a child has provided us with personal data, contact us at privacy@enquanta.com and we will delete it.
We do not collect sensitive or special-category personal data (such as health, biometric, or precise geolocation data) through the Website, and we ask that you do not send it to us.
3. How we use your information and our legal bases
We use personal data for the following purposes:
Responses: to respond to your inquiries and provide the information, demonstrations, or documents you request.
Triage: to review and route inquiries and partner applications. An AI model that runs on EnQuanta's own servers produces a score and a short summary that our team uses to prioritize replies; no form data leaves EnQuanta for this, and a person reads every submission.
Events: to run live sessions, webinars, and scoping calls you register for, and to follow up afterwards.
Marketing: to send marketing email about our products and services to business contacts, and to measure whether it was opened or clicked (see Section 5).
Analytics: to analyze trends and usage for improving the Website, using the tools described in Section 4 and only with your consent where the law requires it.
Security: to detect security incidents and protect against malicious, deceptive, fraudulent or illegal activity, including, when necessary, to prosecute those responsible for such activities.
Export compliance: to evaluate export compliance consistent with our legal obligations regarding limitations on the export of technology and information.
Contracts: to negotiate, sign, and perform contracts such as non-disclosure agreements.
Legal: to comply with legal obligations and to establish, exercise, or defend legal claims.
If you are in the United Kingdom or the European Economic Area, the legal bases we rely on are:
Responding to inquiries and providing requested information: steps taken at your request before entering a contract (Art. 6(1)(b)); our legitimate interest in responding to people who contact us (Art. 6(1)(f)).
Triage of inquiries and applications: our legitimate interest in answering the right people promptly (Art. 6(1)(f)).
Live sessions, webinars, scoping calls: performance of our arrangement with you (Art. 6(1)(b)); legitimate interest in running and following up events (Art. 6(1)(f)).
Marketing email to business contacts: our legitimate interest in telling organizations that manage cryptographic infrastructure about our products (Art. 6(1)(f)); consent (Art. 6(1)(a)) where local law requires it.
Analytics and advertising cookies: your consent (Art. 6(1)(a); PECR reg. 6 / ePrivacy).
Strictly necessary cookies and Website security: our legitimate interest in operating a secure Website (Art. 6(1)(f)); exempt from cookie consent.
Aggregate, cookieless page counts kept on our own server: our legitimate interest in knowing how the Website is used (Art. 6(1)(f)); nothing is stored on your device and no identifier is kept, so no consent is required.
Contracts and NDAs: performance of a contract with you or your employer (Art. 6(1)(b), (f)).
Payments of invoices: performance of our contract with you (Art. 6(1)(b)); legal obligation for the transaction records tax and accounting law require (Art. 6(1)(c)).
Legal compliance and legal claims: legal obligation (Art. 6(1)(c)); legitimate interest in protecting our rights (Art. 6(1)(f)).
We do not make decisions about you that have legal or similarly significant effects based solely on automated processing. We do use automated processing to help triage inquiries and to assist in evaluating export compliance, and a person reviews the result. We do not use your personal data to train artificial-intelligence models.
4. Cookies and similar technologies
The Website hosts its own fonts, video and forms, so the only third-party service it uses is the Google Analytics measurement tag described below, under rules that depend on where you are. We use cookies and similar tracking technologies. These include:
Strictly necessary cookies: essential for site functionality, including remembering the choices you make in our privacy banner. EnQuanta staff signing in to internal dashboards receive a session cookie for that purpose only. These do not require your consent.
Analytics cookies: enquanta.com uses Google Analytics 4 to understand how the site is used (pages visited, approximate location at city level, device and browser; Google Analytics 4 does not log or store IP addresses). Google receives a pseudonymous identifier and technical information about your visit. For the collection and transmission of that data through the tag on our site, we and Google are jointly responsible; Google is thereafter an independent controller of the data it holds, under its own privacy notice (policies.google.com/privacy). Whether the tag runs by default depends on where you are, which we read from your browser's time zone and treat as outside the United States whenever we cannot tell. If you are in the United States, the tag is on unless you decline it, as U.S. state privacy laws allow, and a Global Privacy Control signal from your browser turns it off. If you are in the European Economic Area, the United Kingdom, Switzerland or anywhere else, the tag sets no cookie and stores nothing on your device until you accept it in our privacy banner; until then it sends Google only cookieless, aggregate pings (Google's consent mode) that carry no identifier and are not used to build a profile. You can change your choice or withdraw consent at any time from Privacy settings in the footer of every page.
First-party page counts: our own server counts page views and estimates daily visitors without cookies. It hashes your network address and browser type together with a random value that changes every day and is never stored, so the count cannot identify you and no two days can be linked. Only daily totals are kept. This is strictly necessary audience measurement and runs for every visitor.
We do not currently run the LinkedIn Insight Tag or the Meta Pixel. If we add either, it will appear as a separate choice in the privacy banner, off by default, and we will ask for your consent through the banner before it loads.
Your Privacy Choices
Global Privacy Control and Do Not Sell or Share. If your browser sends a Global Privacy Control (GPC) signal, we treat it as a request to opt out of analytics and advertising cookies and will not set them unless you later accept them yourself in the privacy banner. Should we add advertising tags such as LinkedIn or Meta, California law may treat the data they receive as sharing personal information for cross-context behavioral advertising; you can opt out at any time through Privacy settings or the Your Privacy Choices link in the footer, which both open the panel below. We do not sell personal data. There is no common standard for Do Not Track browser signals, so we respond to GPC as described here rather than to Do Not Track.
No optional cookies or tags are configured on this site right now, so there is nothing to opt out of. When one is added, its control appears here and in the footer.
5. Business contacts we email
If you receive marketing email from EnQuanta at a work address, we obtained your name, title, employer, and business email either from our direct dealings with you (for example, a meeting, event, or inquiry) or from a licensed business-contact database or publicly available professional profile, and we may use a service provider to help us process it (see Section 6) on the basis of our legitimate interest in telling organizations about our products. Every email identifies EnQuanta as the sender, includes our postal address, and lets you opt out with one click; you can also write to privacy@enquanta.com. We honor opt-outs promptly (within ten business days) and keep your address on a suppression list so that you are not contacted again. We do not send marketing email to personal (non-work) addresses without your consent.
U.K. recipients: where the law requires it (for example, if you are a sole trader or an unincorporated partnership), we will email you only with your consent. You have the right to object to direct marketing at any time, and we will always honor it. EEA recipients: we send unsolicited marketing email only if permitted by the law of your country, evaluated on the basis of your address and/or IP address; otherwise we will ask for your consent first.
6. How we share your information
Service providers: processors acting on our instructions that run our email, CRM and automation, schedule and host live sessions, manage document signature and take payments. Our current processors are Zoom (live sessions: when you register on the Website we send Zoom your first and last name and email so it can issue your joining link; registration and scheduling), Smartlead (outbound email), Mailchimp (opt-in newsletters and email), Twenty CRM (contact records), n8n (workflow automation), PandaDoc (NDAs and agreements) and Stripe (invoice payments; Stripe acts as an independent controller for the personal data it uses to prevent fraud and meet its own legal obligations, and as our processor for the rest of the payment processing). The Website itself, the forms you submit and their automated review run on infrastructure EnQuanta operates in the United States.
Advertising and analytics partners: Google, as described in Section 4, under its own privacy notice, and LinkedIn or Meta only if we add their tags with your consent.
Affiliates: our professional advisors and related business entities, including corporate affiliates and channel partners and their professional advisers, under confidentiality obligations. We will tell you if your personal data becomes subject to a different privacy policy as a result of any change in control of EnQuanta.
Resellers and partners: if you ask about a product sold or supported through one of our authorized resellers or channel partners, we may pass your inquiry to that partner so it can follow up, and we will tell you when we do.
Legal and regulatory authorities: to comply with applicable laws and legal processes, and to protect the rights, property, or safety of EnQuanta, our customers, or others.
We do not sell personal data, and we do not permit our processors to use it for their own purposes.
7. International data transfers
We take steps reasonably necessary to ensure your data is treated securely and in accordance with this Policy. Your personal data may be transferred to and processed in countries outside your jurisdiction, including countries that may not provide the same level of legal protection for data as your home country. EnQuanta is based in the United States, and our processors are located primarily in the United States, so if you are in the United Kingdom or the European Economic Area your personal data will be transferred there. For those transfers we rely on the EU and U.S. Data Privacy Framework and its UK Extension where the recipient is certified, and otherwise on the UK International Data Transfer Agreement or Addendum, or the European Commission's Standard Contractual Clauses, supported by a transfer risk assessment. You can request a copy of the relevant safeguard from privacy@enquanta.com.
8. Data retention
We retain personal data only as long as necessary to fulfill the purposes for which it was collected (individual usage and analytics data for shorter periods; aggregated usage and analytics data for longer periods to support business insights, security, or functionality enhancements), to comply with legal obligations, and to resolve disputes and enforce agreements. In particular, we keep:
Inquiries, Website form submissions, partner applications and correspondence: 24 months after our last contact with you.
CRM records of business contacts: 24 months after your last interaction with us, unless you or your employer become a customer.
Marketing suppression (opt-out) list: indefinitely, so that we can continue to honor your opt-out.
Event registration and attendance records: 24 months after the event.
Google Analytics 4 data: 14 months, the retention period set in the Google Analytics property.
First-party page counts: daily totals only, 400 days.
Signed NDAs and their audit trails: 24 months after the term of the agreement.
Records of your cookie choices: 24 months, after which we ask again.
Invoice and payment records: the period tax and accounting law requires.
Technical server logs: a short period, for security and troubleshooting.
When data is no longer needed we delete it or irreversibly anonymize it.
9. Your rights
If you are in the United Kingdom or the European Economic Area (UK GDPR / GDPR)
Access: request access to your personal data and a copy of it.
Correction: update or correct inaccuracies.
Deletion: request erasure of data in the circumstances set out in Article 17, for example where it is no longer needed, where you withdraw consent, or where you object to direct marketing.
Restriction: ask us to limit how we use your data while a concern is resolved.
Objection: object to processing based on our legitimate interests. You have an absolute right to object to direct marketing at any time, which we will always honor.
Portability: receive the data you gave us in a structured, machine-readable format.
Withdraw consent: at any time, where we rely on consent, without affecting processing that has already taken place.
Complaints: to the UK Information Commissioner's Office (ico.org.uk; 0303 123 1113) or to the supervisory authority in the EEA country where you live or work. We would appreciate the chance to address your concern first.
We respond within one month, which may be extended by up to two further months for complex or numerous requests, and we do not charge a fee unless a request is manifestly unfounded or excessive.
[UK / EU representative: Our representative under Article 27 UK GDPR is [●], contactable at [●]. Our representative in the EU under Article 27 GDPR is [●], contactable at [●].]
If you are a California resident (CCPA)
Know: request disclosure of the categories of personal data collected and its uses, the sources, the categories of third parties we disclose it to, and the specific pieces of personal information we hold about you, up to twice in a 12-month period.
Delete: request deletion of personal data, subject to legal exceptions.
Correct: request correction of inaccurate personal information.
Opt-out: direct us not to sell or share your personal information for cross-context behavioral advertising (see Section 4).
Limit: we do not use or disclose sensitive personal information for purposes that would give rise to a right to limit.
Non-discrimination: we will not treat you differently for exercising these rights.
Authorized agents: you may use an authorized agent to make a request; we may ask for proof of authorization.
We respond within 45 days, extendable once by a further 45 days if reasonably necessary. We do not sell personal information. We may share personal information through advertising cookies as described in Section 4 only if we add such tags and you accept them, and you can opt out at any time. We do not knowingly sell or share the personal information of consumers under 18 years of age.
Categories of personal information we have collected and disclosed for a business purpose in the preceding 12 months: identifiers (name, email address, IP address, cookie identifiers); professional or employment-related information (title, employer); internet or network activity (pages visited, interactions with our emails); approximate (city-level) geolocation; and commercial information (inquiries, invoices paid and documents signed). These were disclosed to the service providers and partners listed in Section 6.
If you live in another U.S. state with a comprehensive privacy law
If you live in a state such as Colorado, Connecticut, Minnesota, Oregon, Texas, or Virginia, you may have similar rights to access, correct, delete, and obtain a copy of your data, and to opt out of targeted advertising, sale, and profiling, together with a right to appeal our decision by emailing privacy@enquanta.com with Appeal in the subject line. Many of these laws do not cover data about you in your professional capacity, but we will honor requests wherever we reasonably can.
To exercise these rights, contact us at privacy@enquanta.com or by post at the address in Section 1. We may require identity verification for processing requests, but we will ask only for information proportionate to the request (for example, confirming details we already hold) rather than government identification, unless we cannot otherwise verify your identity.
10. Security
We implement appropriate technical and organizational measures to protect personal data, including:
Encryption of personal data in transit and at rest.
Role-based access control for employees.
Regular security audits and monitoring to detect vulnerabilities.
While we strive to protect your data, no system is completely secure. If a personal-data breach occurs that is likely to put you at risk, we will notify you and the relevant regulator as the law requires. As of the Last Revised date, this includes notification within 72 hours to the ICO or the competent EU authority where applicable, and in accordance with Minnesota and other U.S. state breach-notification laws.
11. Links to other sites
Our Website links to third-party sites and services (for example LinkedIn, GitLab, NIST and partner websites). We are not responsible for their privacy practices, and this Policy does not apply to them; please read their privacy notices.
12. Changes to this Privacy Policy
We may update this Policy periodically to reflect changes in our practices, technologies, or legal obligations. Updates will be posted on this page with an updated Last Revised date. In case of material changes, we will use reasonable efforts to notify you via email or prominent notice on our Website. Where a change would affect processing that relies on consent you have already given (for example, adding a new analytics or advertising tag) we will ask for your consent again through the privacy banner rather than relying on this notice. We review this Policy at least annually. Previous versions remain available: the December 2024 policy is at /privacy/2024-12.
